Meent is supporting Le TIR in the recruitment of its Reception Manager for a permanent position.

Le TIR is located in the heart of Bois de Boulogne in Paris. Its 6,500 members, over half of whom are under 30, are mostly registered as families. They engage in a variety of sports and activities either recreationally or competitively, including tennis, swimming, gymnastics, bridge, and football.

Le TIR is managed by 65 volunteers and 45 employees, who oversee the club’s daily operations. Its multi-sport school ranks among the leading French sports training schools, hosting 650 students aged 6 to 18. The school is continually expanding, focusing on high-level sports development, recreational sports, and sports-health. It is notably distinguished by the strong emphasis it places on the values of sport.

Set in a vast wooded area with water features, Le TIR offers top-quality sports facilities, including a large outdoor swimming pool, 21 tennis courts, football and basketball fields, and mini-tennis courts.


Role

Reporting to the Member Services Department, the Reception Manager is responsible for managing daily member reception. They will oversee the teams in charge of welcoming members at the entrance control and at the Tennis Pavilion. The primary duties involve ensuring a high standard of reception, overseeing the entrance control system, and ensuring members adhere to the club’s rules. These tasks will mainly be carried out at the Tennis Pavilion.


Missions & Responsibilities

Reception and Member Information

  • Establish conditions for quality reception in line with the standards defined by the Member Services Department for member information and orientation.
  • With the Tennis Pavilion reception team, advise and register members for supervised sports activities.
  • Assist teams in managing member complaints and propose solutions in line with the Member Services Department.
  • Register court bookings with the team.
  • Ensure, with the team, the sale of products and manage stringing requests.
  • Manage the cash register.
  • Ensure that the team adheres to the rules and principles defined by the club and report any difficulties to the Member Services Department.
  • Ensure members adhere to the rules by reminding them of these rules and addressing any infractions.
  • Organize site tours during busy periods with the team. In case of issues with a member, escalate to the Duty Manager.


Administration

  • Ensure all requests sent to the TIR reception email are processed within the designated time frame, either by the reception team or by the Reception Manager themselves.
  • Organize and manage the reception staff schedules for the Tennis Pavilion and entrance control.
  • Oversee and ensure the registration of members for sports activities, camps, and events.
  • Supervise and verify that all administrative tasks carried out by the reception team are completed successfully and propose improvements.
  • Participate in recruitment, training, and onboarding of new reception staff.
  • Contribute to the creation and update of procedures in collaboration with the Member Services Department to improve service quality, and train the reception staff on proper procedure implementation.
  • Regularly report on registrations, payments for sports activities, and statistical data to the relevant departments (Sport Secretariat and Finance).
  • Manage follow-ups on overdue payments and coordinate with the reception team to contact members regarding unpaid activities (sports, cultural, and camps).
  • Modify invoices according to members' requests, following established guidelines.
  • Manage the stock of shop items, tennis balls, and sports equipment provided for rent or sale to members, and place necessary orders as per the defined rules.
  • Ensure that reception staff are proficient in using the club’s software tools.


Profile Requirements

Experience

  • Minimum 5 years’ experience in an administrative or reception role.
  • At least 2 years of management experience in a similar position.
  • Experience in an association environment is a plus.


Skills & Knowledge

  • Proficiency in office software (Member management software, Word, Excel, Outlook).

Other information

Contract type: Permanent (35 hours/week) – Days off: Monday, Tuesday, and Thursday

Location: Paris 16th

Starting date: ASAP

Salary: Depending on profile and experience, paid over 13 months
