Main goal
To shape, plan and successfully implement the hospitality programmes associated with the UEFA Champions League final (in particular the programme for commercial partners but also VIPs, guests of the participating teams and other target groups eligible for hospitality services), organising temporary tent structures, catering, branding and decoration, entertainment and other production services such as audiovisual, lighting and masters of ceremonies and liaising on a daily basis with internal and external stakeholders, including suppliers and service providers, local organisers and authorities, UEFA’s marketing agency and commercial partners and their agencies.
Key Responsibilities
- Communicating and coordinating effectively, consistently and proactively with all relevant internal and external stakeholders to maintain alignment and guarantee smooth project planning and successful delivery
- Establishing comprehensive and well-structured operational and logistical plans, including detailed delivery, set-up and dismantling schedules, in close coordination with all internal and external stakeholders
- Collaborating closely with commercial partners and their agencies to validate activation plans and approve hospitality area layouts in coordination with UEFA’s marketing agency, the hospitality service providers, local authorities and internal counterparts
- Managing essential project administration, including internal project planning, accreditation, invoicing and reporting, and post-event debriefings
- Preparing presentations and compelling project documentation, including guidelines, service catalogues and digital tools, for commercial partners and other external stakeholders to ensure comprehensive information sharing and efficient follow-up
- Defining, tracking and managing all project milestones and deadlines, ensuring timely and high-quality delivery
- Preparing tender documents and managing procurement processes together with UEFA’s procurement team to select the most suitable service providers and achieve the best value for money, creativity and reliability
- Supporting the development of the hospitality services concept according to the agreed concepts, timelines and budgets
- Supervising on-site implementation to ensure flawless execution in accordance with the defined and approved plans
- Assisting with budget planning and monitoring and ensuring adherence to the agreed budget, always seeking innovative and cost-effective solutions
- Preparing and participating in site visits, meetings and workshops
- Supporting colleagues in Hospitality Production in their planning and delivery of other events
Requirements
Experience:
- 4 to 6 years' experience in event management, planning and managing big, complex events in an international environment
- 4 to 6 years' experience in the sports hospitality business
- Solid experience in project management and budget management
Education:
- Bachelor's degree in a relevant field, preferably business administration, event management or sports management
Languages:
- English / Proficient
- Any additional languages would be an asset
